If you use Fennec Forms to send email campaigns or invitations, here are practical steps to help you stay compliant.

Before you send

Make sure you have a lawful basis to contact each recipient. This varies by jurisdiction but usually means you have consent, a legitimate interest, or an existing relationship. Do not send to purchased lists unless you have verified consent for each recipient. Review your message content and make sure it accurately represents who is sending the email and why.

Recipient lists

Only include recipients who have agreed to receive communications from you or who you have another lawful basis to contact. Keep your lists up to date. Remove bounced addresses, unsubscribes, and invalid emails promptly. If you import a CSV of recipients, make sure the data is accurate and that you have permission to contact everyone on the list.

Unsubscribe handling

Every campaign email sent through Fennec Forms includes an unsubscribe link. Recipients who click it are added to your team's suppression list automatically. You must honor unsubscribe requests. Do not remove recipients from the suppression list unless they have re-consented. Most jurisdictions require that unsubscribe requests are processed within a short window, often 10 business days or less.

Tracking disclosure

Campaign emails may include tracking for opens, clicks, and submission attribution. If your jurisdiction requires disclosure of email tracking, include that information in your message or link to a privacy notice that covers it.

What not to do

Do not use Fennec Forms to send spam or unsolicited bulk email. Do not impersonate another sender. Do not use deceptive subject lines or content. Do not circumvent unsubscribe mechanisms. Do not send campaigns to recipients under the age of consent without appropriate parental authorization.

Regional considerations

Different regions have different rules. For example, EU recipients are subject to GDPR and ePrivacy rules. US recipients may be subject to CAN-SPAM or state-level privacy laws. Canadian recipients are subject to CASL. You are responsible for understanding and complying with the rules that apply to your audience.
